Do you want to promote Toastmasters for your club/area/division/district? I have tried to collect here some interesting resources, including ready to use marketing plans, tools to get guests, automating lead management, developing PR materials and videos.

1) Ready to use Marketing Plans

  • The first thing you need to do in order to start a Membership Campaign is to decide who you are targeting. Which age group? Two common ones are the Millennials (25/34) and Generation X (35/44), but we have also identified other groups. Deciding which one to address is important since we need to talk in different ways to different people.
  • If you are a busy VPPR or VPM rather than creating your own marketing campaign you can use those produced by the MOONLIT project. For each target group you will find a ready to use campaign complete with text and pictures to post day by day.
  • For every DAY you will find a KEY MESSAGE (a title) for your post, a ready to use picture specifically prepared for that MESSAGE, the DETAILED MESSAGE to post, some suggested HASTAGS that you can add. We also give you which STRENGTH of Toastmaster we are promoting with this MESSAGE, and a suggested CALL TO ACTION. You can use them as they are, or personalize them to your specific club needs.
  • Rather than posting day by day,  I suggest you use a tool like Hootsuite or Studiorific that you can instruct to automatically do the positing for you, every day at a specific time (look for analytics of your group to understand when it is best to publish).
  • What results can you foresee? An “organic” result of more than 200 people reached and a 10%. likes.
  • You can boost even more the results if you buy even a limited amount of Facebook Ads to promote your postings. 50 EUR will be enough: selected the specific target group, the area you are interested in, the language and any other characteristics that will help you reach those you are targeting.
  • You could also decide to extend you campaign to other Social media, using the provided HASHTAGS or specific messages for example for LINKEDIN.

2) A free tool to promote the club and book partecipation – Eventbrite

  • In order to promote your events a great tool to use is EVENTBRITE, which is free for free events, like our club meetings.
  • Register an account and then insert as one event all you club meetings for at least the next two months.
  • The great thing about EVENTBRITE id that it allows to automate replies and send automatic reminders with Zoom link for meetings to your potential visitors.
  • It also promotes your even by listing in Eventbrite Events, which will add to your exposure.
  • Eventbrite also allows you to download a guest list with all data, as well as send periodic emails to all those who registered.

3) T.I. Leads: don’t loose them, automate your PR efforts – Zapir

Toastmasters International sends you leads, but sometimes those leads are lost, just because you did not update the email address to which they are sent – check on the TI website. Also, I find it very useful to automate a reply to those emails providing the potential visitor with standard info about the club, and maybe a link to Eventbrite to register for the next meeting, or maybe directly the link of the meeting. I also find it useful to store data of those leads in a spreadsheet for future use. The automatic reply can be setup using Zapier or a similar tool.

  • Check to which email they arrive – verify on TI website
  • Never miss a guest who wants to visit your club
  • Automate reply to TI lead with Zapier or similar tool, which is free for simple tasks
  • Send a reply with all info needed for visitor
  • Add another Zapier to store contact details on spreadsheet

4) Make your own PR materials – a Powerpoint template

  • Always follow TI branding in your material (on TI website you will find the Brand Manual and Brand elements)
  • Use CANVA, great support for FB and other SOCIALS or use my Powerpoint Branding file, to produce slides with your material, then export in desired format (PNG, PDF, etc.)

5) Make a video to promote your TM club – a tutorial

Make a 1 to 2 minutes video!

  • Decide on a message
  • Prepare a storyboard
  • Make a number of 5/10 seconds shoots with your phone or extract from your ZOOM video meeting
  • Put them together with QUIK directly or Apple iMovie (maybe using the make a trailer) or any other video production software directly on your phone or PC
